Position Overview

The firm seeks an experienced Litigation Legal Assistant to provide sophisticated administrative and litigation support to shareholders and associate attorneys with complex matters. This role is ideal for a highly organized, detail-oriented professional who enjoys supporting a busy litigation practice and takes pride in producing accurate, high-quality work.

Experience with Oregon state courts is required. Experience with Washington state courts and Federal courts is strongly preferred.

Minimum Qualifications

  • Minimum 7 years of legal assistant experience, including direct support of shareholders or partner-level attorneys, in litigation
  • Demonstrated knowledge of Oregon state court rules and procedures
  • Exceptional attention to detail and strong organization skills
  • Ability to manage competing deadlines and priorities in a fast-paced environment
  • Self-directed with sound judgment, professionalism, and a collaborative approach
  • Excellent written and verbal communication skills
  • Ability and willingness to learn new software systems and technologies
  • Interest in a long-term position with a stable, collegial law firm

Preferred Skills & Technical Proficiencies

  • Proficient in Microsoft Office (Outlook, Word, Excel), Adobe Acrobat, and NetDocuments
  • Working knowledge of Washington and federal court rules and procedures
  • Experience with electronic filing systems, docketing, calendaring, and document management
  • Familiarity with appellate practice, FINRA matters, and MDL litigation is a plus
  • Experience preparing pretrial and trial materials, including exhibits, hearing notebooks, and witness binders

Essential Duties & Responsibilities:

This position provides litigation and administrative support under the direction of attorneys and does not involve the independent practice of law.

  • Draft, format, proofread, and finalize pleadings, motions, discovery documents, and correspondence at attorney direction
  • Electronically file and serve pleadings and other documents in compliance with applicable court rules
  • Calculate, calendar, and docket deadlines pursuant to court rules, scheduling orders, and attorney instruction
  • Schedule and coordinate hearings, depositions, mediations, arbitrations, and client meetings
  • Maintain accurate attorney calendars and proactively monitor upcoming deadlines
  • Assist with preparation of materials for hearings, depositions, mediations, and trial
  • Run conflict checks and assist with opening, maintaining, and closing client and matter files
  • Provide administrative support to assigned attorneys, including but not limited to:
    • Calendar and email management
    • Travel arrangements and expense reporting
    • CLE tracking and annual compliance reporting
    • Coordination of internal and external meetings, including shareholder activities
  • Provide backup support to absent legal assistant’s attorneys when needed
  • Perform other related duties as assigned to support the efficient operations of the litigation practice

Compensation & Benefits:

  • Salary Range: DOE
  • Classification: Non-exempt, eligible for overtime in accordance with Oregon and federal law
  • Work Schedule: Monday through Friday, 8:30 AM – 5:00 PM
    • One-hour unpaid lunch
    • 37.5-hour workweek
  • *Hybrid work schedule subject to change (1 day onsite – Wednesdays & 4 days offsite)

Compensation and Benefits

In addition to a specified salary or hourly rate wages, full-time employees receive the benefits shown below. Details of the benefits and eligibility are available in the various Plan documents which will be provided at the time of an offer of employment.

Medical and Vision Insurance
We offer employees fully paid premiums with United Healthcare, which includes vision and alternative care (chiropractor, massage, acupuncture, naturopath). This is a Preferred Provider (PPO) plan with reduced coverage for out-of-network providers.

Dental Plan
We offer employees fully paid premiums for Mutual of Omaha dental coverage.

Flexible Spending and Transportation Plans
Pre-tax deductions for reimbursement of eligible out-of-pocket medical expenses, dependent medical premiums, dependent care expenses, and commute transportation (parking and transit passes) expenses.

Group Life Insurance / AD&D Insurance
Basic Coverage of $50,000, with an additional $50,000 paid if death is by way of accident.

Long-Term Disability Insurance
Plan benefit of 60% of salary to maximum $8,000 per month for staff and attorneys, following 90 days of disability.

Non-Attorney Paid Time Off
Paid Time Off is used for all paid absences except parental leave, jury duty and bereavement leave.

Years of Experience PTO Accrual Based on 37.5/40 Hour Work Weeks

10-14                    25 days per year
15+                       30 days per year

Parental Leave
The Firm will provide sixteen (16) weeks of paid parental leave to all parents upon the birth or placement for adoption of a child.

Extended Leave
Non-attorneys are eligible for a paid extended leave after ten years of service.

Attorney Sick and Vacation Leave
Reasonable time off for vacation and illness plus Associate unpaid leave of absence program.

Shareholder Sabbatical Program
Sabbaticals available to shareholders who have been with the firm, either as an Associate or Shareholder, for ten years, and then every seven years thereafter.
